Booking Appointments
Appointments, consultations, workshops, and training sessions are arranged by mutual agreement.
Before an assessment, clients may be asked to complete questionnaires or provide relevant information to support clinical reasoning and ensure the service is tailored to their needs.
Face-to-Face and Remote Services
Services may be delivered:
In the client's home
At an agreed venue
Online via a secure video platform
Through educational workshops or training sessions
Clients are responsible for ensuring they have a suitable internet connection and an appropriate private environment for remote appointments where possible.
Where a remote consultation does not provide sufficient clinical information, a face-to-face assessment may be recommended.
Fees and Payment
Fees will be discussed and agreed before services commence.
Invoices will normally be issued following the appointment or as agreed.
Payment is due within 7 calendar days of the invoice date unless alternative arrangements have been agreed in writing.
Late payment may result in future appointments, reports, or services being postponed until payment has been received.
Cancellation and Missed Appointments
Please provide at least 48 hours' notice if you need to cancel or rearrange an appointment.
Appointments cancelled with less than 48 hours' notice, or appointments that are not attended without notice, may be charged at the full appointment fee unless exceptional circumstances apply.
If Prana Occupational Therapy needs to cancel an appointment, every effort will be made to offer an alternative appointment as soon as possible.
Educational Workshops and Training
Educational workshops, webinars and training sessions are designed to provide general occupational therapy information and education.
Participation does not create an individual therapeutic relationship unless this has been agreed separately.
Information provided during workshops or training should not replace individual assessment or clinical advice.
Reports and Resources
Where reports are included within the agreed service, they will usually be completed within 10–15 working days following receipt of all relevant assessment information.
Educational resources, presentations, handouts and digital materials remain the intellectual property of Prana Occupational Therapy unless otherwise stated and may not be copied, distributed or reproduced without written permission.
Confidentiality and Data Protection
Personal information is handled in accordance with the Privacy Notice, Confidentiality & Data Protection Policy and UK data protection legislation.
Information will only be shared:
With appropriate consent;
Where required by law; or
Where there is a safeguarding concern requiring disclosure to protect a child or adult at risk.
Informed Consent
Informed consent will be obtained before assessment or intervention begins.
Clients may withdraw consent at any time. Withdrawal of consent may affect the ability of Prana Occupational Therapy to continue providing services safely and effectively.
Safeguarding
Prana Occupational Therapy is committed to safeguarding children, young people and adults at risk.
Where there are concerns regarding an individual's safety or welfare, information may be shared with appropriate agencies without consent where this is necessary to protect someone from harm or where required by law.
Further information can be found in the Safeguarding Policy.
Professional Standards
Services are provided in accordance with:
Health and Care Professions Council (HCPC) Standards of Conduct, Performance and Ethics
Royal College of Occupational Therapists (RCOT) Professional Standards
UK legislation and best practice guidance
Services will only be provided where they fall within the Occupational Therapist's professional competence and scope of practice.
Complaints
Prana Occupational Therapy aims to provide a professional, respectful and compassionate service.
If you are dissatisfied with any aspect of your experience, concerns should be raised as soon as possible so they can be addressed promptly.
A copy of the Complaints Policy is available on request and will be provided before assessment begins.
Ending Services
Services may be ended by either the client or Prana Occupational Therapy at any time.
Prana Occupational Therapy reserves the right to end services where:
Fees remain unpaid.
The requested service falls outside the therapist's scope of practice.
Continuing intervention is not clinically appropriate.
There is abusive, threatening or unsafe behaviour.
A conflict of interest arises.
Where appropriate, recommendations for alternative services will be provided.
Intellectual Property
All reports, educational resources, presentation materials, handouts, training content and digital resources created by Prana Occupational Therapy remain the intellectual property of Prana Occupational Therapy unless otherwise agreed in writing.
These materials may not be copied, reproduced, distributed or used for commercial purposes without prior written permission.
